1. Who we are

Kaleidoscope Health and Care (‘we’ or ‘us’) collects, uses and is responsible for certain personal information about you. When we do so we are regulated under the General Data Protection Regulations that apply across the European Union (including the United Kingdom) and we are responsible as ‘controller’ of that personal information for the purposes of those laws.

Personal information you provide to us

We collect the following personal information that you provide to us: your name, email address and organisation.

Some examples of when we collect this information include: when you subscribe to our newsletters, when you register for face to face events, including workshops, and our digital events.

Cookies

When you visit our website, we put a small file known as a cookie on to your computer to collect information about how you use the website. Cookies are used to collect the following type of information: how many times the user has visited the website; pages users visited; data traffic.

This information helps us to understand how users navigate our website and which content is most/least relevant to users. The information is anonymised and does not identify you individually.

On the first occasion that you use our site we will ask whether you consent to our use of cookies. If you do not, cookies will not be used.

How long your personal information will be kept

We will retain your personal data no longer than is necessary for the purposes for which it is processed.

Data for the purpose of receiving our newsletter will be kept until the user unsubscribes.

Data for the purpose of being able to attend face to face and digital events will be kept for a reasonable period so that we can inform participants about the event and provided them with any additional resources from the event.

Reasons we can collect and use your personal information

We rely on the following as the lawful basis on which we collect and use your personal information: legitimate interests.

The legitimate interests relied upon are as follows: the information is used to allow users to subscribe to our newsletter; to join our digital events; to take part in our face to face events.

Keeping your information secure

We do not sell on or pass your personal information to third parties.

We have appropriate security measures in place to prevent personal information from being accidentally lost, or used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

We will also use technological and organisation measures to keep your information secure. These measures may include the following examples: user information is stored on a secure cloud served and encrypted using Secure Socket Layer.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Transfers of your information out of the EEA

When collecting personal data via third party sign-up platforms, it may be transferred outside the EEA. In these circumstances, your personal data will only be transferred if:

• the country that the personal data is sent to is approved by the European Commission as providing an adequate level of protection for personal data
• the transfer is to a recipient in the US who has registered under the Trans-Atlantic Data Privacy Framework

Filming and photography at events

We sometimes carry out filming (including audio recordings) or photography at events as part of our publicity output. We do so because it is necessary for our legitimate interests in promoting and disseminating our work. We make delegates aware of this in advance in the information pack provided and in signage at the event.

We make available specific lanyards to identify participants at events who do not wish to be filmed or photographed.

3. Your rights
